What Carries Over and What Does Not

  • Fonts. Calibri maps to Carlito; Segoe UI and Garamond fell back to Liberation fonts, so lines can wrap. For exact fonts, use Save As PDF in Excel.
  • Narrow columns. A currency value too wide for its column printed ### in our tests.
  • Metadata. The PDF keeps selectable text and is tagged (PDF 1.7 (ISO 32000-1)). Excel's Author field is copied in, so clear it first.
  • Not tested. Password protected files, pivot tables and conditional formatting.

How do I fit a wide Excel sheet on one PDF page?

Set it in Excel, because we follow the saved page setup. A 30 column test sheet took 3 pages with no fit setting and 1 page with landscape orientation plus Fit to 1 page wide.

Does it keep formatting, charts and formulas?

Colors, merged cells, percent formatting, a chart and a picture printed in our tests, though a page break can split a picture. Formulas appear as calculated values. A missing font is replaced. Conditional formatting was not tested, so compare the PDF first.

Are hidden sheets included in the PDF?

No. In our test the hidden sheet was left out and its text appeared nowhere. Every visible sheet is converted, each starting on a new page. Unhide the sheet in Excel first if you want it printed.

Does it work with both .xls and .xlsx?

Both work in this Excel to PDF converter. The older .xls and the newer .xlsx gave the same four pages. Only those two types are accepted, so .csv and .ods files are refused with a message naming the allowed types.

Is it safe to upload my spreadsheet?

The workbook travels over HTTPS and is converted on our server. The uploaded copy is deleted when the job ends, and the PDF is removed after about two hours. Keep data you may not share off any online converter.
